As a small business owner or entrepreneur, you will write numerous emails to either request or provide information. Here are 4 helpful tips.
1. Start with a strong subject line.
To draw the recipient’s attention, ensure your subject is clear, unambiguous, and encourages further reading.
2. Focus on the main point in the email body.
Clearly explain the reason for the message, what is needed, as well as the reason for the request, and keep it short.
3. Use a polite but direct tone.
Be professional and polite, avoid using jargon, and, of course, proofread.
4. Include a call to action.
To elicit a response from the reader, include a call to action so the reader can respond to the email or take a desired action.
In summary, when writing emails, include a concise and compelling subject line, keep it short and focused on a central point, and include a call to action to solicit the reader’s response.
Examples:
Subject Line Example: “The Lasting Power of Dr. King’s 'I Have a Dream' Speech”
Call to Action Example: “Please join XYZ in celebrating the universal legacy of a man who gave his life in the pursuit of a better future for all of us. RSVP by aaaa date for the celebration. Thank you for striving every day to make the world around us a little better.”
Email Example:
Subject: Brainstorming Elements for the June 1, 2023, XYZ Vendor Meeting
Dear XXXX,
In preparation for the 6/1/23 vendor meeting, consider the following questions suggested by the National Association.
Working with your vendor: The following questions may be helpful when working with your vendors. 1. Has the vendor modified the workflow within the application to permit the Request for Anticipated Payment to be submitted in accordance with the new criteria and within 5 days beginning on January 1, 2024? 2. If your vendor still needs to complete the updates, when will they be completed? 3. How will the agency’s operations need to be altered? 4. Will the agency have access to reports for compliance analytics and management? 5. What is the anticipated learning curve for staff to work with the changes in the system and operations?
